Privacy policy

roostreply (“roostreply,” “we,” “us”) is a follow-up tool for real estate agents. This policy explains what we collect, why, and the choices you have. We keep it plain — no dark patterns, no data reselling.
Who this covers
Two groups of people appear in roostreply: the agents who sign up for an account, and the open-house visitors whose contact details an agent collects through a roostreply sign-in page. We handle each differently, described below.
What we collect
From agents: the email address and password you use to sign up, and the branding details you choose to add (name, phone, reply-to email, photo/logo). We also keep the open houses and follow-up sequences you create.
From open-house visitors: the information a visitor types into an agent's sign-in page — typically first name and email address — plus a timestamp and whether they consented to follow-up. This data belongs to the agent who collected it; roostreply stores and processes it on the agent's behalf.
We do not knowingly collect sensitive personal information, and we never ask visitors for it.
How we use it
We use agent account data to run your account and provide the service. We use visitor data solely to send the follow-up emails the agent has set up, under the agent's name, and to show the agent their leads. Every follow-up email includes a working unsubscribe link and a physical mailing address, as required by the U.S. CAN-SPAM Act. When a visitor unsubscribes, we stop the sequence immediately.
We do not sell leads, we do not use visitor data to advertise to them, and we do not share one agent's leads with another.
Who we share it with
We rely on a small set of trusted service providers who process data on our behalf: Supabase (database and authentication), Resend (email delivery), and Vercel (application hosting). Each only processes data as needed to provide their service. We may also disclose information if required by law.
Data retention & your leads
We keep account and lead data for as long as your account is active so the service works. Agents can export their leads to CSV at any time and can ask us to delete their account and its data. Unsubscribe records are retained as needed to honor opt-outs.
Security
Data is stored with row-level security so that each agent can only access their own records. We use reputable infrastructure providers and access data only to operate and support the service.
Cookies
We use a small number of strictly necessary cookies to keep agents signed in. We do not run third-party advertising trackers.
Your choices & rights
Open-house visitors can unsubscribe from any follow-up email using the link in that email, or by contacting the agent or us. Agents can update their branding, export their data, or request deletion. Depending on where you live, you may have additional rights to access, correct, or delete your personal data — contact us and we'll help.
Changes to this policy
If we make material changes, we'll update the effective date above and, where appropriate, notify account holders.
